RSI Logistics, recently acquired by Trinity Industries Inc., is looking for a Rail Project Coordinator.  The Project Coordinator’s primary objective is to ensure safe, compliant, and efficient execution of railcar projects that fall outside the ExxonMobil Maintenance Manual and the Association of American Railroads (AAR) Field Manual. The role provides centralized coordination, execution tracking, documentation control, cost stewardship, and formal close-out of railcar projects across North America, while maintaining data integrity across ExxonMobil systems.

Key Responsibilities:

Project Setup and Activation

  • Receive approved Internal and External Project Instructions from the Project Initiator
  • Add approved projects to FleetWatch MP and apply Hot Tags to affected railcars per Internal Project Instructions.
  • Maintain project folders on the RPO LAN/R drive in accordance with standard naming and document control conventions.
  • Ensure all participants adhere to established project process controls
     

Execution Tracking & Documentation Control

  • Track project execution at the individual railcar level
  • Ensure all required maintenance and inspection documentation is submitted into FleetWatch MP
  • Follow up with maintenance providers to resolve missing or incomplete documentation if needed
  • Close Hot Tags and car-level projects in FleetWatch MP upon documentation validation if needed
  • Notify the RPO Data Team to update RailTrac following car-level project closure if needed
     

Financial and Project Stewardship

  • Perform periodic spot checks of standalone project costs to ensure alignment with estimates and corporate planning assumptions
  • Identify and communicate cost variances or execution risks to the Project Initiator and Maintenance leadership.
     

Change Management

  • Participate in reviews when execution concerns or risk changes arise and changes to project are needed
  • Coordinate with the Project Initiator, Engineering, Maintenance Supervisor, and Maintenance Coordinator to ensure revised instructions are republished in compliance with the Project Management Procedure.
     

Project Close-Out

  • Perform full-project close-out activities once all assigned railcars have completed project work
  • Complete and file project closeout documentation
  • Communicate project closure to stakeholders.
     

Governance and Controls

  • Maintain separation of duties between Project Initiator, Reviewer, and Approver roles
  • Ensure all records are audit-ready, complete, and stored in approved systems
  • Support compliance with internal procedures, regulatory requirements, and corporate risk standards.
     

Success Measures

  • Timely application and removal of Hot Tags
  • High documentation completeness rates at car-level close-out
  • Accurate and timely updates to FleetWatch MP and RailTrac
  • Efficient full-project close-outs with no outstanding documentation 

What you'll need:

  • Bachelor's degree preferred
  • 1+ years experience with Railcar maintenance/assets
  • Project support and industrial maintenance coordination experience
  • Computer savvy or working knowledge of FleetWatch MP, RailTrac, other rail systems
  • Strong attention to detail and ability to hold others accountable
  • Ability to coordinate across Engineering, Maintenance, Regulatory, Legal, Asset Planning, and Data teams.
