TrinityRail is searching for a Senior Administrative Assistant to support our Service Operations organization at our Dallas, Texas HQ!

This position reports to and supports the Senior Vice President of Customer Operations, as well as other Vice Presidents in the organization.  

The ideal candidate must have expert knowledge of Outlook to accommodate heavy calendaring and the ability to manage multiple priorities with varying degrees of urgency.  This individual needs to be flexible in an ever-evolving and fast-paced environment, demonstrate autonomy in decision making, and have a curious mind and desire to work with innovative ideas and technologies.  This position requires someone who is incredibly people focused, has strong communication and interpersonal skills and a collaborative spirit; be enthusiastic about this role!  This candidate may also be asked to lead or participate in stretch projects.  This is an in-office position.

What you'll do:
• Primary function is to support Services Operations Vice Presidents and their direct reports
• Heavy calendaring and associated logistics (i.e. meeting invite, space and materials, catering, set-up/tear-down, A/V, etc.)
• Prioritize conflicting needs and handle matters expeditiously and proactively to meet timelines
• Assist with onboarding new employees to create an exceptional employee experience
• Complete a broad variety of administrative tasks, including document preparation and digital storage, agendas and action items, supply orders, mail, shipping packages, etc.
• Effectively present information to a diverse audience (in/external) in a variety of formats
• Business unit and company-wide event planning (business and social)
• Interact heavily with other departments and vendors to accomplish tasks
• Assignments require independent judgment and problem-solving skills
• Arrange domestic and international travel arrangements (flights, hotel, transportation, reservations, registrations, etc.) in Concur
• Prepare and submit timely expense reports in Concur
•    Route calls received via IVR system; greet and escort guests

• Possess professional verbal and written communication skills 

What you'll need:
•  8+ years equivalent experience; not industry specific
•  Advanced skills in Microsoft Office applications (Outlook, Word, Excel, PowerPoint); including presentation skills
•  Additional knowledge that could be helpful, but not required include Microsoft Teams, SharePoint, Salesforce, Kronos, and Concur
•  Knowledge of methods and techniques of data collection, organization, research, and report preparation
•  Assignments are moderately complex in nature and deadline-oriented
•  Desire to learn new skills and contribute in fresh and innovative ways
