Trinity Industries is hiring a Senior Payroll Tax Analyst at our headquarters office in Dallas, TX. The Sr. Payroll Tax Analyst is a subject matter expert responsible for full cycle U.S. and Canadian payroll tax compliance, including weekly through annual tax processes, year-end W 2 and T4/T4A reporting, and resolution of complex multi-jurisdictional tax issues. This role ensures regulatory accuracy across all federal, state/provincial, and local jurisdictions, strengthens internal controls, and drives continuous improvement through automation, process optimization, and the use of AI enabled payroll technologies. The analyst partners closely with ADP, Oracle HCM, and cross functional business partners to maintain data integrity, support payroll processing, and enhance efficiency across North American payroll operations.
What You’ll Do:
- Manage all U.S. federal, state, local, and Canadian provincial payroll tax filings, deposits, reconciliations, and remittances in partnership with ADP and ADP Canada
- Ensure compliance with IRS, DOL, CRA, and provincial payroll legislation while maintaining accurate documentation and internal controls
- Oversee year end activities, including U.S. W 2s and Canadian T4/T4A reporting
- Ensure accurate state unemployment tax (SUI) compliance through proactive audits and coordination with Equifax
- Support timely and accurate weekly, biweekly, and semimonthly payroll processing across the U.S. and Canada
- Investigate and resolve complex payroll tax and wage garnishment issues with internal teams, ADP, agencies, and third-party partners
- Research and resolve U.S. and Canadian tax notices, discrepancies, amendments, and year end corrections
- Liaise directly with IRS, state/local agencies, CRA, and provincial authorities to resolve tax issues and document corrective actions
- Utilize AI driven anomaly detection tools to identify and prevent jurisdictional errors and improve multi state/province accuracy
- Leverage predictive compliance and system automation to support timely updates related to tax law changes
- Optimize ADP Smart Compliance and Oracle HCM integrations to streamline remittances, reconciliations, and exception management
- Use dashboards and analytics to monitor tax obligations and identify trends or discrepancies
- Serve as a subject matter expert for Oracle HCM tax configuration and quarterly release updates
- Strengthen audit readiness through robust internal controls, SOX compliance support, and comprehensive documentation
- Support acquisitions, new entity setup, and expansion into new states/provinces by managing tax jurisdiction registrations
- Partner with HR, Legal, Tax, and Accounting on worker classification, residency, work location, and cross border taxation matters
- Prepare dashboards, key metrics, and analytical reports for management and key stakeholders
- Identify process improvement opportunities and recommend solutions to reduce manual work and enhance accuracy
- Collaborate with General Accounting on tax related reconciliations and issue resolution
- Maintain updated process documentation and provide cross training to payroll team members
- Escalate critical issues to leadership with recommended action steps
What You'll Need:
- Bachelor’s degree in Accounting, Finance, or a related field
- 5+ years of multi state U.S. payroll tax experience, including Canadian provinces/territories
- Certified Payroll Professional (CPP)
- Deep knowledge of U.S. federal, state, and local tax regulations and Canadian federal and provincial payroll legislation
- Hands on experience with ADP Smart Compliance and Oracle HCM (U.S. payroll environment)
- Demonstrated expertise in process improvement, automation, and AI enhanced payroll tax technologies
- Advanced analytical and data driven problem solving skills, with the ability to interpret trends and deliver actionable insights
- Advanced Microsoft Excel proficiency
- Strong organizational skills, attention to detail, and ability to manage complex, multi jurisdictional work
- Knowledge of wage garnishment processing
- Experience with SOX compliance and internal controls testing
- Excellent communication and collaboration skills, with the ability to convey complex information clearly to non financial partners
